Q: How do I find my client's
PrivacEmail address?
A: You can determine your
client's PrivacEmail address in two ways:

Click My Profile>View My
Clients.

Agency>Manage Clients
In your client list, the UserID
column shows your clients' PrivacEmail address prefix. If you
hover your mouse over any specific UserID, a little prompt box
will appear to confirm the full PrivacEmail address.
Q: How does a client find my Pro.Privacemail address?
A: When
clients first sign up, they are not assigned to specific
counsellors, so at first, clients do not
know to whom they should send secure email messages. But there is
also no need for them to initiate messages because they have already described
their problem during the
registration process. Nevertheless,
as soon as clients register, you, as the Agency Administrator,
will receive a notice by regular email that a new client has
registered. You can then login and click Agency>Manage Clients,
locate any new clients (which will display as "unassigned").
Click a client's UserID to open his/her profile, then click the
Counsellor tab. You assign the client from there. Once a
client is assigned, when he/she logs in,
he/she can click "My
Counsellor" to see your photo, your name and credentials, your
Pro.PrivacEmail address, and either of the phone numbers you
allow to display.
There is another factor to
consider too: The client registration process ensures that the
first PrivacEmail message is sent from the counsellor to the
client. This means that, after you send your first message to
the client, all he/she needs to do is login,
check his/her email and click Reply. He/she doesn't really even
need to wonder what your Pro.PrivacEmail address is.
As well, when a client sets up
their new PrivacEmail address, the following is stated in their
Inbox welcome message:
Welcome to PrivacEmail, the
2048-bit e-mail encryption solution for professional helpers
and their clients.
We strongly suggest you
consider setting up e-mail notification immediately so that
you are sent a notice to your regular e-mail whenever a new
PrivacEmail message is received in your Inbox. This notice
will tell you when your counsellor has sent you a reply to
your concerns.
To retrieve your
counsellors message, login at your counsellor's web address
- which is the site from which you registered. After logging
in, click the "Check my Email" link.
If the client follows these
instructions, a notice will be sent to his/her regular email
address after you send the client your first PrivacEmail
message. The notice says:
A new message is waiting
for you in your PrivacEmail secure email Inbox. To retrieve
the message, please login to the website where you first set
up your PrivacEmail address.
Also, if you have a separate
web site, you might also want to set up a link from your site
that takes clients directly to the login page:

Q: How do I upload my photo? What is it for?
A: Click
"Edit My Profile" and go into the "My Photo" tab and click
browse to find a photo of yourself on your local computer.
After uploading, if you see the photo displayed, it will
show for your clients. That's its purpose. When your clients
login and click "My Counsellor", they will be able to see
your photo, your name and credentials, your Pro.PrivacEmail
address, and either of the phone numbers you allow to
display.
Q: How do I upload my
company logo?
A: You
can do this by clicking Agency and the "Web Settings" link.
Open the "Logo" tab. From there you can upload your logo and
it will replace the PrivacEmail logo in the Admin system. In
the email system, the PrivacEmail logo cannot be changed.
